WORKSHOP TOOLS, EQUIPMENT & MACHINERY SAFETY AND MAINTENANCE POLICY

1. Purpose

This Policy establishes safety, operation, inspection, maintenance and control requirements for workshop tools, equipment, machinery and lifting devices used by VahanXpert Services. The objective is to protect Customers, employees, technicians, vehicles and workshop property and to reduce avoidable equipment-related incidents.

2. Scope

This Policy applies to hand tools, power tools, vehicle lifts, jacks, compressors, diagnostic equipment, welding equipment, battery chargers, pressure washers, electrical equipment, wheel alignment/balancing equipment and other workshop machinery used at VahanXpert Services.

3. Authorised Use

  • Workshop equipment should be used only by personnel who are appropriately trained, authorised or supervised for the relevant equipment.
  • Employees should follow manufacturer instructions, workshop procedures and applicable safety requirements.
  • Equipment must not be used for an unauthorised purpose or beyond its rated capacity.

4. Pre-Use Inspection

  • Users should visually inspect equipment before use for obvious damage, loose components, leaks, exposed wires, worn cables, missing guards or other unsafe conditions.
  • Safety devices, emergency stops, guards and locking mechanisms should be checked where applicable.
  • Unsafe equipment should be removed from service or clearly identified until assessed and made safe.

5. Vehicle Lifts and Lifting Equipment

  • Vehicle lifts and lifting equipment should be operated only by trained/authorised personnel.
  • The vehicle should be positioned according to the equipment and vehicle manufacturer's requirements.
  • The rated lifting capacity must not be exceeded.
  • Approved lifting points and suitable supports should be used.
  • Personnel should not remain underneath a vehicle that is improperly supported or during unsafe lifting operations.

6. Jacks and Stands

Jacks should be used only for lifting and not as the sole support for a vehicle where approved safety stands or other appropriate supports are required. Equipment should be placed on suitable, stable surfaces and within its rated capacity.

7. Power Tools

  • Power tools should be used with suitable guards, accessories and protective equipment.
  • Damaged cords, plugs, switches, batteries or housings should be reported and the tool should not be used until appropriately assessed.
  • Tools should be disconnected or safely isolated before maintenance, adjustment or cleaning where applicable.

8. Electrical Safety

  • Electrical equipment should be connected to suitable power sources and used according to manufacturer requirements.
  • Temporary wiring, damaged extension cables or unsafe connections should not be used.
  • Electrical repairs should be performed by appropriately qualified personnel where required.
  • Workshop electrical equipment should be protected from unnecessary exposure to water or other hazards.

9. Diagnostic Equipment

Diagnostic scanners, battery testers and other electronic equipment should be used according to manufacturer instructions. Diagnostic equipment should be stored securely and protected from impact, moisture, excessive heat and unauthorised access.

10. Compressors and Pneumatic Equipment

  • Compressed-air equipment should be operated within its rated pressure.
  • Hoses, fittings and connections should be checked for damage or leaks.
  • Compressed air should not be directed at people or used in a manner that creates an avoidable injury or contamination risk.

11. Welding and Hot Work

  • Welding, cutting and other hot work should be performed only by appropriately trained personnel.
  • Suitable protective equipment and ventilation should be used.
  • Flammable materials should be kept away from hot-work areas where reasonably practicable.
  • Fire extinguishing equipment should be readily accessible in relevant work areas.

12. Battery Charging and Handling

Vehicle batteries and charging equipment should be handled with appropriate precautions. Sparks, open flames and other ignition sources should be controlled around batteries where applicable. Charging equipment should be used according to its specifications.

13. Pressure Washers and Cleaning Equipment

Pressure washers and cleaning equipment should be operated carefully around vehicle electronics, sensors, connectors, seals and other sensitive components. Electrical equipment should be protected from water exposure.

14. Workshop Housekeeping

  • Tools, cables, hoses and equipment should be stored or positioned to reduce trip hazards.
  • Spilled oil, coolant, fuel, chemicals or other liquids should be addressed promptly.
  • Work areas and emergency access routes should be kept reasonably clear.

15. Personal Protective Equipment

Appropriate PPE such as safety footwear, gloves, eye protection, hearing protection, protective clothing or respiratory protection should be used where required by the task, equipment or applicable safety procedures.

16. Equipment Maintenance

  • Equipment should be maintained according to manufacturer recommendations and workshop requirements.
  • Preventive maintenance should be recorded where appropriate.
  • Critical equipment should receive periodic inspection and servicing based on risk and usage.

17. Calibration

Where measurement accuracy is important, relevant diagnostic, testing, alignment, weighing or other measuring equipment should be calibrated or checked according to manufacturer instructions, operational requirements or applicable standards.

18. Breakdown and Defective Equipment

Equipment that fails, behaves abnormally or is suspected to be unsafe should be stopped and reported. It should not be returned to service until an authorised person determines that it is safe and fit for use.

19. Lockout / Isolation

Where maintenance or repair creates a risk of unexpected energisation, movement or release of stored energy, suitable isolation or lockout procedures should be followed as appropriate to the equipment and task.

20. Fire and Emergency Safety

  • Emergency exits and access routes should remain unobstructed.
  • Suitable fire extinguishers and emergency equipment should be accessible.
  • Employees should know the workshop's emergency reporting and evacuation procedures.
  • Equipment-related accidents, fires, electric shocks or serious near misses should be reported promptly.

21. Vehicle Protection

Equipment should be used in a manner that reduces the risk of damage to Customer vehicles. Suitable protective covers, lifting adapters, wheel chocks, supports and other protective measures should be used where appropriate.

22. Unauthorised Modification

Workshop equipment should not be modified, bypassed or have safety guards removed without appropriate technical assessment and authorisation. Safety features must not be intentionally disabled.

23. Training and Competency

  • Personnel should receive appropriate instruction before using unfamiliar or higher-risk equipment.
  • Training may cover safe operation, equipment limits, PPE, emergency procedures and basic fault identification.
  • Records of relevant training or competency assessment may be maintained.

24. Incident Reporting

Any injury, equipment failure, vehicle damage, fire, electrical incident, significant near miss or other material safety event should be reported and reviewed under the applicable Incident Reporting Policy.

25. Contractor / Third-Party Equipment

Third-party personnel using workshop equipment should comply with applicable workshop safety instructions and may be restricted from using equipment unless authorised and appropriately competent.

26. Records

  • Maintenance, inspection, calibration, repair and incident records may be maintained for relevant equipment.
  • Records may be used for safety management, insurance, audit, service history, legal/compliance and operational purposes.

27. Customer Safety

Customers should not enter active workshop work areas or operate workshop equipment unless specifically authorised and accompanied by appropriate personnel.

28. Policy Review

This Policy shall be reviewed periodically and may be updated based on equipment changes, incident experience, manufacturer requirements, workshop operations or applicable legal and safety requirements.
